Launching (while exciting) is just the beginning of your bot’s life. Here are some things to consider as you continue to use your bot over time. 

Sustainability

Now that your bot is live, the final piece of the puzzle is keeping your bot up-to-date, including to account for changes to the law and current events.

Who will be responsible for making and maintaining these updates? An important first step is to allocate this responsibility. It could be you as the builder that continues to maintain the bot, or it could be your organisation’s knowledge management, operations or innovation team, if you have one.

Once you know who is responsible, determine the right frequency for checking your bot to make sure it’s up to date and working as expected. This could be monthly, quarterly, or even every 6 months. When choosing this, consider how often you expect the law or the information in the bot to change.

Feedback

Ongoing feedback from end-users is crucial in maintaining the usefulness and productivity of your bot. Positive feedback ensures that it still provides value, while constructive criticism gives you the opportunity to iterate and improve.

Either way, you won’t know unless you ask. Think back to the testing you did in Module 4. You can use the same practice with users of your live bot!

Once several users have engaged with your bot, you have a valuable group to survey and collect feedback that will indicate just how valuable your bot actually is. You may choose to reach out to individuals post-engagement, or you could use a tool that captures feedback immediately after use. 

For a more streamlined way to collect feedback, consider building a survey bot on Josef and adding it to the end of your bot as a few additional questions or as an optional link.

Reporting and data

Your bot records all the interactions it has with users to provide you with real-time information and insights when you need it. Josef can generate reports on bots across the organisation, a particular bot, or a particular interaction. Learn more about how to access and use this data here.

There are 3 things you can do with the data collected in the activity tab. Each one is described briefly below.

Monitor your bot’s success

‘Success’ for your bot may look different depending on the type of bot you build. However, one of the main indicators of a successful bot is whether and how it’s being used. Usage data is in the Activity tab, right at the top. How many people have used the bot? Is it more or less than you expected? How long does it take them to interact with the bot? The answers to these questions can tell you whether your bot needs further work to be successful.

See individual interactions

The activity tab creates an individual record for every interaction with your bot, including any documents generated during the interaction. You can view this information directly in the activity tab or export it into a spreadsheet to further analyse the data. 

Download all data

You are also able to download all the data collected by your bot across all interactions into one spreadsheet. This data can be used in a number of different ways. For example, it can be useful to look for patterns in user interactions, or track how users interact with the bot over time.
